Abstract

Trong bối cảnh chuyển đổi số giáo dục đang diễn ra mạnh mẽ, bài toán quản lý hồ sơ thi cử tại các cơ sở đào tạo đại học đặt ra nhiều thách thức về tính nhất quán dữ liệu, khả năng theo dõi tiến độ và hiệu quả vận hành hành chính. Các phương thức quản lý thủ công truyền thống bộc lộ nhiều hạn chế như phân tán dữ liệu, khó kiểm soát thời hạn và tiềm ẩn sai sót trong quá trình tổng hợp. Trên cơ sở đó, đề tài “Xây dựng hệ thống quản lý hồ sơ thi cử của giảng viên” được thực hiện nhằm đề xuất một giải pháp số hóa tập trung, hướng đến tối ưu hóa quy trình quản lý và nâng cao hiệu quả vận hành. Hệ thống được phát triển trên nền tảng Web-based, sử dụng ngôn ngữ lập trình PHP kết hợp với hệ quản trị cơ sở dữ liệu MySQL, đảm bảo khả năng truy cập linh hoạt, đồng bộ dữ liệu và dễ dàng triển khai trong môi trường thực tế. Về mặt phương pháp, đề tài tập trung xây dựng mô hình quản lý dữ liệu theo cấu trúc học kỳ – năm học, kết hợp cơ chế lưu trữ phân lớp (bài thi giấy và tài liệu số) nhằm đảm bảo tính toàn vẹn, khả năng truy xuất và đối chiếu thông tin. Một đóng góp quan trọng của hệ thống là cơ chế theo dõi tiến độ và nhắc hạn tự động dựa trên mốc thời gian học vụ (tuần 15–17), cho phép giám sát trạng thái nộp bài theo thời gian thực và giảm thiểu tình trạng trễ hạn. Bên cạnh đó, hệ thống hỗ trợ tổng hợp và sinh báo cáo một cách tự động, cung cấp dữ liệu chính xác và kịp thời phục vụ công tác quản lý và ra quyết định. Việc tích hợp lưu trữ trên nền tảng drive chung cũng góp phần chuẩn hóa quy trình lưu trữ và tăng cường khả năng quản lý tập trung. Kết quả thực nghiệm cho thấy hệ thống hoạt động ổn định, cải thiện đáng kể hiệu quả quản lý so với phương thức truyền thống, đặc biệt trong việc giảm tải công việc hành chính, hạn chế sai sót và nâng cao tính minh bạch trong xử lý dữ liệu. Từ đó, đề tài không chỉ giải quyết bài toán cụ thể tại đơn vị triển khai mà còn mở ra khả năng mở rộng cho các hệ thống quản lý học vụ khác trong bối cảnh số hóa giáo dục. In the context of the rapid advancement of digital transformation in higher education, the management of examination-related records poses significant challenges in terms of data consistency, progress tracking, and administrative efficiency. Traditional manual approaches reveal several limitations, including data fragmentation, lack of deadline control, and a high risk of errors during data aggregation. In response to these issues, the study titled “Development of a Lecturer Examination Records Management System” is conducted to propose a centralized digital solution aimed at optimizing administrative workflows and enhancing overall management effectiveness. The system is developed as a web-based application using PHP as the primary programming language in conjunction with the MySQL database management system, ensuring flexible accessibility, real-time data synchronization, and ease of deployment in practical environments. From a methodological perspective, the study focuses on designing a structured data management model based on academic semester–year hierarchies, combined with a layered storage mechanism (including both physical exam records and digital files) to ensure data integrity, traceability, and efficient retrieval. A key contribution of the system lies in its automated deadline monitoring and notification mechanism, which operates based on predefined academic milestones (weeks 15–17 of each semester). This feature enables real-time tracking of submission status and significantly mitigates the issue of late submissions. In addition, the system provides automated data aggregation and reporting functionalities, delivering accurate and timely information to support administrative decision-making processes. The integration with a shared drive storage platform further standardizes document management and enhances centralized control. Experimental results demonstrate that the system operates reliably and significantly improves management efficiency compared to traditional approaches, particularly in reducing administrative workload, minimizing data inconsistencies, and increasing transparency in record handling. The proposed system not only addresses practical challenges at the deployment unit but also provides a scalable foundation for the development of broader academic management solutions in the context of educational digitalization.
